Customer Service Representative
Marion Counseling Services (MCS) is dedicated to providing compassionate, high-quality mental health services to individuals, families, and communities. We are seeking a Customer Service Representative who is professional, organized, and committed to delivering exceptional client experiences while supporting our clinical and administrative teams.
Position Summary
The Customer Service Representative serves as the primary point of contact for clients and visitors. This position is responsible for answering inquiries, scheduling appointments, maintaining accurate records, assisting with client intake processes, and supporting daily administrative operations. The ideal candidate possesses excellent communication skills, strong attention to detail, and the ability to handle sensitive information with professionalism and confidentiality.
Essential Duties and Responsibilities
- Answer incoming telephone calls, emails, and other communications in a timely and professional manner.
- Greet clients, visitors, and vendors while maintaining a welcoming and supportive environment.
- Schedule, confirm, reschedule, and cancel appointments using the organization's scheduling system.
- Assist prospective and current clients with general questions regarding services, policies, and procedures.
- Collect, verify, and update client demographic and insurance information.
- Support client onboarding and intake processes, including distributing and collecting required documentation.
- Maintain accurate records within electronic health record (EHR) and administrative systems.
- Coordinate communication between clients and clinical staff as appropriate.
- Process appointment reminders and follow-up communications.
- Assist with insurance verification, billing inquiries, and payment collection when applicable.
- Ensure compliance with HIPAA and all confidentiality standards.
- Perform general administrative duties, including filing, scanning, copying, data entry, and document management.
- Maintain a clean, organized, and professional reception area.
- Participate in staff meetings, training, and other assigned duties as needed.
Required Qualifications
- High school diploma or GED required.
- Minimum one (1) year of customer service, administrative support, receptionist, or related experience.
- Strong verbal and written communication skills.
- Proficiency with Microsoft Office Suite (Word, Outlook, Excel) and general computer applications.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment.
Preferred Qualifications
- Associate degree or higher in business administration, healthcare administration, or a related field.
- Experience working in a healthcare, behavioral health, counseling, or medical office environment.
- Familiarity with electronic health records (EHR) systems.
- Knowledge of insurance verification and healthcare administrative processes.
- Bilingual proficiency is a plus.
